POSITION TITLE: Administrative Secretary

POSITION SUMMARY: To provide clerical and administrative support to the Director of Alumni Affairs in the performance of a range of activities required in the planning and ongoing management of alumni affairs. To willingly type and otherwise assist in the preparation of materials as instructed and needed for alumni programs and services. To maintain databases and resources.
RESPONSIBILITIES: Perform clerical and administrative support in daily activities for the Alumni Office. Perform typing, copying, monitoring supply inventories, faxing, answering the telephone and giving information as related to alumni affairs. Type reports, agendas, proposals, programs, scheduling of the facility for use etc. Process mail and greet visitors. Schedule appointments and maintain calendars for director and facility. Schedule facilities (on and off campus), and the use of state vehicles. Maintain an excel spreadsheet to keep alumni records. Maintain written and verbal communications with alumni, students, BSC faculty and staff, and other contacts. Keep an accurate file of alumni contributors, money intake and disbursements. Develop and maintain a database with alumni records, address and name changes. Process all address changes from the U.S. postal services. Perform other duties as assigned.
MINIMUM REQUIRED QUALIFICATIONS: High school diploma or GED required. Training in computer skills including Microsoft Office Suite and operation of office equipment is essential to the position. One to two years’ experience required in computer skills, office management and public relations. Valid Driver’s License. Required skills: Proficient computer skills; Knowledgeable in software programs such as Microsoft Office Suite, DTP; Other job-training and experience requiring accuracy and recordkeeping; Rapid and accurate typing; Facility with usual office equipment; Excellent written and verbal communications skills; Accurate production of data; ability to perform job duties and to meet new challenges and use emerging technologies.
COMPENSATION: Pay Grade 10, Non-Exempt, Classified position. Starting salary of $19,916. This position is funded through Bluefield State College’s HBCU Title III grant and is dependent upon availability of funding.
